Clear information about local PDF processing and the limited data sent only when you choose to report a problem or share feedback.

1. Scope and contact

Connor Broom operates PDFeX and is the data controller for the personal information described here. This policy covers the PDFeX Windows application, its in-app reporting feature and support or privacy messages sent to us.

2. Local PDF processing

PDFeX accesses a PDF only when you open it, drop it into the app, choose it through File Explorer or use the PDFeX merge command. Viewing, OCR searching, extracting, deleting or reordering pages, merging, compression, smart splitting, auto-orientation, searchable-PDF creation and conversion to Excel, Word or images take place on your Windows device.

Normal use does not send us your PDFs, filenames, file paths, page content, OCR text, selected text, converted output or screenshots. Output is saved only to a location you choose.

3. Local settings

PDFeX may retain local preferences such as the theme, preview state, custom finder selection, OCR character-reference library and a random bug-report installation identifier. These remain on your device during ordinary PDF work.

Local settings remain until you change them, clear the app's local data or uninstall PDFeX. Files you deliberately save outside the app are not removed by uninstalling it.

4. Optional reports and feedback

Opening the report and feedback panel sends nothing. Information is transmitted only after you complete the form and press Send report or Send feedback.

A submitted message contains:

  • your reply email address, subject and message;
  • whether it is a problem report or feedback;
  • the broad part of PDFeX in use;
  • the app version and Windows processor architecture;
  • a random installation identifier;
  • only the PNG, JPG or PDF attachments you deliberately select; and
  • a report reference and time received.

It does not automatically include the open PDF, filename, path, page number, page count, document content, OCR output, selected text, screenshot or Windows account name. Review your message and attachments before sending personal, confidential or document information.

Cloudflare may process network address and basic request metadata to secure and rate-limit the reporting endpoint. PDFeX does not place that address in the support email.

5. Direct email

If you contact us by email, we receive the address you use, your message, normal email metadata and any attachment you choose to send. This is separate from the in-app report and feedback panel.

Send only what is needed to explain the issue. Do not attach confidential PDFs or personal records unless necessary and you are authorised to share them.

6. How support data is used

  • Investigating reports and feedback: reply email, subject, message, app area, version, architecture, chosen attachments and reference.
  • Recognising recurring faults: random installation identifier.
  • Protecting the service: identifier and limited network or request data.
  • Replying to users: reply address, message, metadata and chosen attachments.
  • Legal duties or claims: relevant support records where required.

These uses rely on legitimate interests in supporting, securing and improving PDFeX, or on legal obligations where applicable. We do not sell support information, use it for advertising or build marketing profiles from it.

7. Service providers

  • Cloudflare hosts and protects the private reporting endpoint.
  • Resend delivers reports and feedback as plain-text email with any chosen attachments.
  • Zoho Mail hosts the PDFeX support mailbox.
  • Microsoft handles Store purchases, licensing, installation, updates, reviews and Store analytics under its own terms.

PDFeX does not receive payment-card details. Information may also be disclosed when required by law or reasonably necessary to establish, exercise or defend legal claims.

8. International transfers

Cloudflare, Resend, Zoho and Microsoft operate internationally and may process information outside the United Kingdom. Where UK law requires safeguards, the applicable provider contractual and legal transfer mechanisms are relied upon.

9. Retention

Reports, feedback and direct support emails are normally deleted within 12 months. They may be kept longer while an issue remains open, where law requires it, or where reasonably needed for a legal claim. Security and rate-limiting data is kept only as needed by the reporting service and its providers.

10. Security

Core PDF work remains local. In-app messages use HTTPS, accept only defined fields, limit message and attachment size, verify PNG, JPG and PDF attachment signatures, and are rate-limited before delivery to a private support mailbox. No transmission or storage method is completely secure, but proportionate controls are used for the limited information involved.

11. Your choices and rights

You can use PDFeX without submitting a report. You can also clear local app data or uninstall PDFeX, without affecting files you deliberately saved elsewhere.

Depending on applicable law, you may request access, correction, erasure, restriction, objection or portability by emailing [email protected]. Include the reply email address and report reference from your submission so the relevant message can be identified.

You may complain to the UK Information Commissioner's Office.

12. Children and automated decisions

PDFeX is a general productivity tool and is not directed specifically at children. Support information is not used for advertising profiles or solely automated decisions that produce legal or similarly significant effects.

13. Policy changes

This policy may change when PDFeX, its reporting service, its providers or legal requirements materially change. The current page will show the revised effective date and policy version.
